1. Booking Procedures: Any and all coaching sessions must be booked online through the Made You Dink booking page.
2. Player Registration: Coaching sessions should be booked under the name of the player(s) who will be attending. Bookings are non-transferable to another individual without our prior written agreement. If the player is a minor, the booking may be made by a parent or legal guardian on their behalf.
3. Availability: Group coaching spots are limited and allocated on a first-come, first-served basis.
4. Health Declaration: Players are responsible for ensuring they are physically fit to participate in coaching sessions. If you have any relevant medical conditions, disabilities, or injuries, you or your guardian (for junior participants) must inform the coach before the lesson (the coach will record this information). Alternatively, the information can also be submitted using the form found here. Please inform us promptly of any changes to your health conditions. This information is crucial for us to tailor coaching appropriately and ensure your safety and the safety of others. We will maintain confidentiality regarding your health information, except where disclosure is required by law (e.g., for safeguarding purposes) or necessary to protect your vital interests in an emergency.
5. Emergency Contact: All participants must provide a current emergency contact name and phone number, accessible during lessons, for use in urgent situations. Junior participants must ensure this information is kept up to date by their parent or guardian. This information can also be given to the coach before the lesson or submitted on the same form as at para 4 found here.
6. Medical Equipment: Players bringing medical equipment must inform the coach of its location at the start of the session for quick access if needed.
7. Minimum Attendance: A group coaching clinic (not small group coaching sessions) will only proceed if there are at least four players booked. If fewer than four players are booked, we will notify you by email or text message at least 24 hours before the scheduled start time. You will then have the choice to either cancel for a full refund or transfer your booking to another available session of equal level.
8. Venue Specificity: Sessions are run at the stated venues in the Booking Page.
9. Eligibility: Made You Dink reserves the right to deny entry to a session if a participant is deemed unsuitable for the group's age or ability. We will assess eligibility based on information provided during booking and potentially during the initial part of a session. In such cases, we will suggest an appropriate alternative session. While we aim to accommodate all participants, refunds may not be issued if the unsuitability was apparent or reasonably predictable at the time of booking. However, we will consider offering a credit towards another session where appropriate and at our discretion.
10. Course Transfers: Requests to switch to an alternative course will be considered based on availability. Transfers may be granted at our discretion. Please note that refunds will not be provided for course transfers unless otherwise agreed.
11. Absence Policy: Refunds cannot be issued for missed sessions. We understand that unforeseen circumstances may arise. We may offer a credit for missed sessions due to documented exceptional circumstances (e.g., illness supported by a medical certificate). Make-up sessions are generally not available for individual absences, except in the specific circumstances outlined in the section above, or at our sole discretion if space is available in an equivalent session.
12. Cancellation Policy: Sessions or courses can be cancelled in writing via email to coach@madeyoudink.co.uk. Cancellations submitted in any other form will not be accepted.
- For cancellations made at least 7 days before the course's or session's start date, you will receive a full refund minus a £10 administration fee.
- For cancellations made with fewer than 7 days until the start date, you will receive a full refund minus a £25 administration fee.
- We may offer credit for cancellations made with fewer than 7 days notice based on special circumstances (e.g., illness supported by a medical certificate), at our discretion. Any credit issued will be valid for a specified period and may be used towards future bookings or transferred to another individual with our written consent.
13. Weather and Instructor Cancellation Policy
- Weather-Related Cancellations: Sessions may be cancelled or modified due to adverse weather conditions (e.g., heavy rain, extreme heat, snow, high winds, lightning). The decision to cancel or modify a session based on health and safety considerations rests solely with the coach.
- Notification: We will endeavour to notify players of cancellations as early as possible. For advanced bad weather forecasts (e.g., snow), we will attempt to contact players via the contact details provided during booking the day before the session. For sudden changes in weather, decisions may be made closer to the session start time. Please ensure your contact information is accurate and up-to-date. Players should assume lessons are happening unless notified otherwise.
- During the Session: If a session is cancelled during or just before play due to weather, the coach will remain at the venue for 15 minutes after the cancellation time to ensure all participants are aware.
- Remedy for Course Cancellations: If a session forming part of a course is cancelled due to weather, another session will be arranged at the end of the course for the same day of the week and time.
- Remedy for One-off Session Cancellations: If a one-off session is cancelled due to weather, players will be offered alternative dates to rearrange the session. Refunds are not available in these circumstances.
- Session Continuation: Some sessions may still go ahead in inclement weather. Players should prepare accordingly and follow coach instructions. The coach's decision regarding session cancellation is final and based on health and safety, not personal comfort.
- Instructor Absence: If a coach is unable to conduct a session as part of a course due to unforeseen circumstances, another session will be arranged at the end of the course for the same day of the week and time. For individual sessions, a full refund will be issued, or alternate dates can be arranged.
14. Force Majeure: We cannot accept liability for any loss, damage, or expense, nor issue refunds, in the event of any changes (whether before or during courses/sessions) arising from Force Majeure. This includes, but is not limited to, war, threat of war, civil unrest, strikes, natural disasters, fire, quarantine, epidemics, pandemics, extreme weather conditions, government actions, or other events beyond our reasonable control. However, in such situations, we will endeavour to offer alternative solutions such as credit or rescheduling where feasible.
15. Photo Policy: We encourage participants and their guests to take photos of their coaching sessions to keep, share, and upload to social media platforms. Made You Dink would also like to take photos of coaching sessions to use on its social media platforms, on this website and on promotional materials. As part of the health, and emergency consent form, there is an option to opt in or out of having photos taken of you (or U-16 year old who you care for) and used for these purposes. Made You Dink General Policies
1. Liability for Personal Items. We cannot accept responsibility for any loss, theft, or damage to personal items while participating in our courses or at our venues. We advise players not to bring valuables to sessions and to keep belongings secure at all times.
2. Code of Conduct. Any aggressive actions (verbal or physical) toward our staff or clients will not be tolerated and may result in immediate termination of services without refund.
3. Terms Modification. Made You Dink reserves the right to amend these terms and conditions at any time. We will notify existing clients of significant changes in writing.

Retention periods
Contact Details (Name, Address, Email, Phone Number) - 6 years after the client's last coaching session. Primarily for ongoing communication regarding coaching services, safety concerns, or legal claims related to coaching activities. Consider anonymisation or secure deletion after this period unless there's a strong, documented reason to retain it longer (e.g., safeguarding concerns).
Health Information (Medical conditions, injuries, fitness levels) - For adults: 8 years after the client's last coaching session.
For children/minors: Until their 25th birthday, or 26th if they were 17 at the conclusion of coaching, or 8 years after death.
Health information is sensitive and necessary for tailoring coaching plans and ensuring client safety. The extended period for minors reflects legal rights to raise claims related to care received during childhood. Secure deletion or anonymisation should occur after these periods.
Emergency Contact Details (Name, Relationship, Contact Number) - Until the client ceases participation in coaching, followed by a reasonable period for potential follow-up related to the coaching relationship (e.g., to deal with complaints).
For minors: Until their 25th birthday, or 26th if they were 17 at the conclusion of coaching.Necessary for contacting in case of emergency during coaching activities. Once the relationship ends, consider a short follow-up period to manage potential related issues. For minors, extending the period aligns with health data retention to ensure consistency for safeguarding purposes. Secure deletion or anonymisation is required after this period.
